The flight from Dubai to Rome is around 6-7 hours direct. Emirates and Flydubai both serve Italian airports regularly. For guests flying in from elsewhere, the UK, Swiss, the US, India, Florence and Pisa are among the best-connected secondary airports in Europe. A Tuscany wedding is, in practical terms, genuinely accessible for an international guest list.

The contrast is also part of the appeal. Dubai offers extraordinary celebration spaces, but Tuscany offers something different: history, landscape, light and food that cannot be replicated anywhere else in the world. For couples who live in one of the world’s most modern cities, the ancient stone and the harvest-season vineyards of central Italy represent a deliberate counterpoint. Many of my couples describe their Tuscany wedding as the thing that felt most like themselves, removed from the speed and scale of daily life in Dubai and closer to something permanent.

Part 1 — Timeline, Visas, Budget

The Timeline: When to Start Planning

This is the single most important piece of practical advice in this guide. For a wedding in May, June or September (the most sought-after months in Tuscany) begin planning 16 to 18 months in advance. Top venues fill prime summer Saturdays well over a year ahead. If your intended date is fewer than 12 months away, your options narrow but do not disappear: shoulder months like April and October remain more available and midweek weddings offer both better venue access and meaningful cost savings.

The order of bookings matters as much as the timing. Venue first — always. The venue determines the date, the date determines the availability of every other vendor. Losing your preferred photographer because you finalised the venue six weeks late is a genuinely common and entirely avoidable disappointment.

Month 1
Define vision, guest count & total budget

Before any venue search, align on the fundamentals — size, style, region and the number that everything else flows from: your total budget, VAT included.

Months 2–3
Research & secure the venue

Visit in person if possible or work with a local planner who can represent you on the ground. Book as soon as you are certain, do not wait.

Month 3
Book venue and photographer simultaneously

These two decisions are made together, not in sequence. The best photographers in Tuscany fill their calendars on the same timeline as the best venues.

Months 4–6
Secure planner, caterer & musicians

With venue and date confirmed, the rest of your vendor team falls into place. Your planner, once booked, takes over much of the coordination from this point.

Visas: What Dubai residents need to know

Visa requirements depend on your passport nationality, not your UAE residence status. The rules divide into two clear categories.

UAE passport holders are visa-exempt for Italy for stays under 90 days — no application required, no appointment needed.

Expats resident in Dubai travelling on non-exempt passports apply for a Schengen visa through VFS Global in Dubai, which handles Italy visa applications for Dubai and Northern Emirates residents. Most Western passports as American, Australian, Canadian are currently visa-exempt for short Schengen stays; check your specific nationality against the current Schengen exemption list before assuming.

  • Valid UAE residence visa with at least 3 months validity beyond your return date from Italy
  • Passport valid for at least 6 months, with at least two blank pages
  • Confirmed flight booking and accommodation reservation or proof of invitation
  • Travel insurance covering the full Schengen area — minimum coverage €30,000
  • Bank statements for the previous 3 to 6 months demonstrating financial stability
  • Recent passport-sized photographs meeting Schengen visa specifications

Processing via VFS Global takes a minimum of 14 working days from submission. Apply well ahead of peak travel periods, consulate appointment slots fill quickly in spring and early summer. For guests travelling from various countries, communicate visa requirements at least 9 months before the wedding.

A destination wedding in Tuscany for 50 guests starts at around €25,000 at the lower end and reaches €60,000 to €80,000 for a fully catered, professionally planned celebration at a premium venue. The most important number that surprises couples from the UAE is Italian VAT — 22%, applied to virtually every vendor invoice.

The VAT Rule — Read This First

Italian VAT is 22% and applies to every vendor — venue, catering, flowers, photography, planning. A quote of €10,000 becomes €12,200 once VAT is applied. Always confirm whether quotes are inclusive or exclusive of VAT. The difference on a €50,000 wedding is approximately €9,000.

You will likely choose your Tuscany venue without visiting it in person first. This is normal, increasingly common and entirely manageable, provided you ask the right questions.

Work with a planner who has a direct relationship with the venue and can walk you through the space on a video call with genuine knowledge rather than sales materials. The questions that matter most are practical ones that photographs cannot answer.

South-facing terraces receive warm afternoon light. North-facing ones do not. This single factor shapes how every ceremony photograph will look.

The most photogenic venues I return to again and again are concentrated in three areas: the Val d'Orcia south of Siena for panoramic hilltop estates, the Chianti hills between Florence and Siena for walled gardens and vineyard views, and the Lucca countryside to the north for a softer, greener landscape.

Book your photographer at the same time as your venue, not afterwards. A local Italian wedding planner is not a luxury for a destination wedding, it is a practical necessity. Planning a Tuscany wedding from Dubai without someone on the ground means navigating Italian vendor communications, site visits, permit applications, legal requirements, and day-of coordination across a 3-hour time difference and a language barrier. A good planner absorbs all of this invisibly.

They also bring vendor relationships built over years, relationships that translate to better availability, honest pricing and the kind of problem-solving that happens quietly before you ever know there was a problem. Expect to pay between €4,000 and €10,000 for full-service planning from a reputable Tuscany-based coordinator. This is consistently one of the highest-return investments in a destination wedding budget.

Getting Your Guests There

Dubai is, logistically, one of the best cities in the world from which to coordinate international travel. Emirates connects your European guests directly. Flydubai serves additional routes. The flight from Dubai to Rome or Milan is approximately six to seven hours.

Share flight and accommodation information with guests at least nine months before the wedding. Block a set of rooms at a nearby property for out-of-town guests, most Tuscany venues have on-site accommodation or established relationships with nearby agriturismi. Organise group transfers from Rome, Milan, Florence or Pisa airport to the venue on the wedding day and back the following morning. This is standard practice for Tuscany destination weddings and significantly reduces logistical stress.

The Best Months for a Dubai Couple

One advantage of planning a Tuscany wedding from Dubai: you are already comfortable with heat. This slightly widens your practical window compared to guests arriving from cooler climates, though your guests' comfort remains a real consideration.
